Administrative Assistant

Title:             Administrative Assistant (non-exempt position)
Reports to:    Office Manager
Hours:          40 hours per week

To this point, employees must possess the ability to manage multiple tasks that impact various areas of the organization. In addition, all associates interface daily with donors and volunteers. It is critical that United Way employees demonstrate professionalism, exemplary interpersonal skills and the highest ethical standards.

POSITION SUMMARY

Provide administrative support to United Way of Lincoln and Lancaster County through general clerical, receptionist and project-based work for the finance, marketing and resource development departments. Project a professional image through in-person and telephone interaction.

ESSENTIAL FUNCTIONS

  • Answer telephone and handle all inquiries in a professional manner
  • Greet visitors and provide information and referrals
  • Prepare correspondence for publications and presentations utilizing Microsoft Office
  • Assist with data entry
  • Coordinate agency speaker opportunities for companies requesting speakers
  • Maintain event registrations, process payments accurately and assist with event set up
  • Transcribe minutes for Board meetings
  • Assist with website updates and social media posts
  • Prepare for meetings including scheduling, calling and distributing materials
  • Process incoming and outgoing mail
  • Operate office equipment including, but not limited to: copier, scanner and postage machine
  • Communicate effectively with volunteers and donors
  • Assist with reservations for meeting spaces
  • Order office supplies as needed, as well as supplies needed for various functions
  • Additional duties as assigned

QUALIFICATIONS

  • Strong verbal and written communication skills required
  • Must possess excellent organizational skills, be detail-oriented and able to multi-task
  • Knowledgeable in Microsoft Office applications
  • Associates Degree or related experience preferred
  • Experience with Adobe Acrobat X Pro and InDesign, Google applications and Word Press preferred
  • Experience with CRM systems
  • Works well in fast-paced team environment
