Title:  Community Impact Administrative Assistant (non-exempt position)
Reports to:  Senior Director of Community Impact

As a team-based organization, United Way associates are expected to work in a flexible environment. Achieving the organization’s goals is the responsibility of every associate. To this point, employees must possess the ability to manage multiple tasks that impact various areas of the organization. In addition, all associates interface daily with donors and volunteers. It is critical that United Way employees demonstrate professionalism in all of their activities, exemplary interpersonal skills and the highest ethical standards.


Responsible for supporting the fund distribution process and management of reporting systems for funded programs. Maintains communication with agency representatives and software vendor (when necessary) to resolve reporting and application problems. The Community Impact Administrative Assistant also supports management of committee meetings, tracking of in-kind donations, volunteers and special events as needed.


•    Supports the Fund Distribution process for the Impact Fund, Joint Budget Committee (JBC) and the affinity groups within the direction of the Senior Director of Community Impact
•    In collaboration with the Community Impact Manager, coordinates staff and volunteers to facilitate their participation in the fund allocation process
•    Collaborates with the Volunteer Engagement Manager for support of special events and volunteer processes
•    Coordinates the distribution of gifts in-kind and community donations
•    Supports agency reports submissions semi-annually and annually
•    Represents the Community Impact department at a variety of human service committees and coalitions
•    Assists with the Community Impact Committee meeting scheduling and communications
•    Documents all meeting proceedings with Microsoft Word and Excel as needed
•    Maintains an open line of communication with all team members and community stakeholders


•    Proficient with a computer and Microsoft Office applications
•    Experience with database management applications is preferred
•    Excellent organizational skills and detail oriented
•    Ability to manage relationships with a wide variety of agency executives, United Way volunteers and staff
•    Ability to accurately compile and present financial, social and economic trend data
•    Ability to take initiative, work independently (as well as in a team) and manage a wide variety of responsibilities
•    Excellent communication skills-both written and oral
•    Works well in a fast-paced environment
•    Ability to handle confidential information
