Director of Administration position available

Position Summary:

As part of the management team at United Way of Lincoln and Lancaster County, the Director of Administration will facilitate operational workflow and provide oversight for the administrative support functions for the organization. Responsibilities include supervising the administrative team in organizing and performing administrative tasks making it possible for the office to run smoothly and efficiently wherever possible.

Essential Functions:

  • Manage operational activities, ensuring efficient and effective completion of support staff tasks
  • Provide administrative oversight enabling office staff to meet deadlines in a prioritized manner
  • Supervise administrative support staff
  • Oversee the preparation of materials for United Way Board of Directors, Foundation, Executive Committee and Campaign Cabinet meetings including agendas, minutes, on-line postings and distribution to all parties.
  • Provide administrative support to the Resource Development team
  • Maintain event registrations, process payments accurately and assist with event set up
  • Produce reports from and maintain/update databases on a continuous basis
  • Handle arrangements, notices and calls for various meetings; assign and document meetings being held in United Way conference room or other meeting areas; assist with travel accommodations
  • Manage mailings including, but not limited to individual and corporate thank you letters, direct mail requests, and leadership registry letters
  • Coordinate and provide general office services including equipment/printer maintenance, copying, and channeling telephone calls/messages appropriately; maintain and develop filing systems
  • Coordinate office mail activities
  • Responsible for IT assistance; work with staff to troubleshoot computer issues; work with third-party vendor as needed
  • Assist with Human Resource functions
  • Provide orientation for new staff regarding best use of office systems, equipment and supplies
  • Collaborate with the Marketing and Administration team to update the United Way website
  • Maintain shared office calendar to facilitate task planning efficiency and enhance overall awareness of all activities occurring in the organization
  • Oversee supply inventory, order office supplies, as well as supplies needed for various functions
  • Create invitations and publications utilizing Constant Contact
  • Assist marketing with proofreading and editing
  • Assure front desk coverage as needed
  • Additional duties as assigned


  • Associates or Bachelor’s degree in Administration or Business Management preferred (or commensurate office experience)
  • Five to seven years of experience in office management position(s)
  • Self-starter with advanced knowledge of basic office administrative tasks
  • Proficient in use of computers including Microsoft Office applications; Word and Excel experience required
  • Ability to effectively manage and motivate other administrative staff
  • Excellent communication skills (verbal and written)
  • Highly organized with excellent attention to detail
  • Ability to deal with public and business community in a friendly positive manner
  • Work well in team environment
